All VC customers will be required to complete an order form so that we can effectively keep track of all of your details. Please download this form here. If there are fields that you are unsure of, just leave them blank for now and send us any questions in an email. We're happy to help fill out any missing information.

VC specializes in producing custom gear – from scratch. No two orders are the same. For this reason, our friendly and helpful team of sales reps, production gurus and artistic experts are always available to help make the ordering process as easy and straight forward for you as possible.

We love to work hard to make you look good, which requires a lot of running around! Email is generally the best way to reach a VC team member, and all emails to the info@vcultimate.com address are returned in less than 24 hours.

Follow these steps to get your team decked out in unique North American-made performance apparel.

1. Get Informed

Once you’ve has a chance to check out the Custom section of the website, or if you are interested in one of our amazing VC Card Deals, please email info@vcultimate.com or call our office with any questions about your order. We’ll send you back answers as quickly as humanly possible.

2. Get a Quote

Send VC an email with as much of the following information possible. We will email you back with answers to any of your questions, a no-obligation quote and a list of next specific steps to complete your order:

a) Your full name, billing and shipping address and day-time phone number

b) How many jerseys you would like to order, and the breakdown of men's and women's jerseys. If you have your sizes confirmed, please list the total number of jerseys you need in each size (separating men's from women's sizes)

c) The style of jersey you would like, and the colour/colour scheme of the jersey. For a multi-panel jersey, list the panel name as shown on the website and the appropriate colour (eg. Body: White, Side panel: Black)

d) Printing details - how many logos would you like printed, and how many colours are in each logo? Do you want player numbers and names? Feel free to send us any design questions/logos at any time and we'll get back to you with our feedback.

e) Any other notes that you think we should know about your potential order - including delivery deadlines, special requests and questions about ordering other items such as hats, hoodies, etc.


3. Payment

VC accepts payment via Visa, Mastercard, Cheque/Check, Interac Money Transfer and International Bank Transfer. We do accept school purchase orders, as well - feel free to put us in touch with your school's purchasing department. Unfortunately, we are not able to ship your order until your payment has been received, or your school has confirmed that payment is being processed.

4. Timeline & Delivery

Upon confirmation of your order, we will provide you with a timeline so that know when to expect your jerseys. We can process rush jobs, but, in our busiest (summer) months, a surcharge will likely apply. Here are some general timeline guidelines, by product/order type:

a) In-stock/cotton/hat orders: Printed and ready to ship in 3-6 business days.

b) VC Card Deal orders: Made to your specifications, printed and ready to ship in 12-18 business days.

c) Custom orders: 10-20 business days for manufacturing (seasonally dependant) + 4 days for printing.

d) Sublimation orders: Approx. 5 weeks. Manufacturing requires a minimum of 4 weeks to layout the approved artwork and create individual ink sheets that will be used to create each player's jersey, sublimate/press the material, cut the patterns (making sure to match up all of your design elements properly) and sew the garments.

Please be aware that it can take quite a bit of back and forthing with your VC Rep and our production department before we get a final mock-up approved and the art ready to submit to begin the sublimation process. The minimum 4 week timeline starts once all of that has been done, and you have submitted your sizes, numbers and/or names.

5. Submitting Your Order

Once we have your basic order info and confirmed your quote, VC will send you an Invoice. If you have not yet filled out an order form, you will be required to do so at this time. Your invoice number (VCXXXXX) will be your order number and can be used at any time to check up on your order. This order number will also make re-ordering matching items in the future a simple task, as we keep all of your order information on file - referenced by that VC order number.

The second and third pages in the Excel order form are there for your to list your final sizes, numbers and names. Please make sure to write all names in the case that you want them on the jerseys (lower, UPPER or Title Case). If you don't want names on the jerseys, please don't list them on the order form - might end up confusing things.

The order form is a great start, but it obviously can't cover everything given how many different custom options VC offers. If you need us to know more info than you are able to complete on the form, please describe those aspects of your order as best you can in the body of an email and we will then compile your order forms and production work orders and send them back to you for your approval.

6. Submitting Your Design Ideas & Artwork

Please send us your art files and a mock up if you have one... as soon in the process as possible so that we can send you any feedback early and not delay the order process once everything else is confirmed. If you don't have a mock-up, we're happy to send you one!

We're happy to work with your logo to try and render it in a usuable format. However, if the art work will require more than 20 minutes of work, we do have to send it out to one of our designers. For most logos, this only costs $25, and it is really worth it to get a good looking design printed. We will always confirm this cost with you before we go ahead with it, to make sure that you are okay with the charge.

We will need to know the following information in order to produce your order summary forms:

a) Print location, size and colour of each logo, for each set of jerseys (lights/darks) or shorts or other garment
b) Location, font, size and colour of the numbers and names to be applied/printed
